Privacy policy.
What we ask you for, why we ask, who else sees it, and how to tell us to correct it or stop using it.
Most privacy policies are written to protect the company that wrote them. This one is meant to be read. We are a small licensed agency, and the questions we ask you are not idle: to put the right helper into your home we have to know something real about your household, including things you would not tell a stranger. So here is exactly what we ask for, why we need it, who else ever sees it, and what you can tell us to do with it.
If anything below is unclear, or you want to know what we hold on you, write to info@jazhelpers.sg and a person will answer you.
1. Who we are
This site is operated by Jaz Helpers Pte. Ltd. (UEN 202432100E), an employment agency licensed by Singapore's Ministry of Manpower under EA Licence 24C2490. Our registered office is at 1 Jalan Dusun #02-13, Singapore 329363. You can check our licence on the MOM directory at any time.
In this policy, "we", "us" and "our" mean Jaz Helpers Pte. Ltd.. We are the organisation responsible for the personal data described here, and we are the one you hold accountable for it.
2. The law that applies
The Personal Data Protection Act 2012 (the PDPA) governs how organisations in Singapore collect, use and disclose personal data. It is the regime we operate under, and this policy is written to meet it.
The PDPA requires every organisation to appoint at least one Data Protection Officer and to make that person's business contact information available. Ours is reachable at info@jazhelpers.sg, or by post at 1 Jalan Dusun #02-13, Singapore 329363, marked for the attention of the Data Protection Officer.
Because we are a licensed employment agency, the Employment Agencies Act and the conditions of our MOM licence also shape what we have to record and how long we have to keep it. Where those obligations and your preferences pull in different directions, we will tell you plainly which records we are required to keep.
3. What we collect
We collect personal data in three ways, and only these three.
The enquiry form on our contact page
If you fill in the form on our contact page, we receive what you type into it:
- your name, email address and WhatsApp number
- how you heard about us, and whether this is your first time hiring a helper
- your household composition: the number of adults, the number and ages of children under 16, whether there are elderly family members who need care, whether anyone at home lives with a medical condition, and whether you have pets
- your residence type
- any cultural or dietary requirements in your home
- your preferences for a helper, including nationality, age range, experience level, language, sleeping arrangement, off days and phone use
- your preferred start date
- a confirmation of whether your household meets MOM's minimum income guidance, and whether you receive caregiving subsidies or assistance, both of which affect eligibility
- anything you write in the remarks box
Nothing on that form is collected because it is nice to have. Section 4 explains what each part is for, and section 5 deals with the parts that touch on health.
Conversations you start on WhatsApp
Most of our enquiries arrive by WhatsApp. If you message us there, we hold your number, the profile name you display, and the content of the conversation, including any photographs or documents you choose to send us. If you would rather not use WhatsApp, email or call us instead and we will keep it there.
Standard server logs
Like any website, this one is served by a hosting provider that keeps ordinary technical logs: the IP address a request came from, the browser and device type, which pages were requested, and when. These are used to keep the site running, secure and fast. We do not run advertising or analytics tracking on this site, and we do not set cookies to build a profile of you or to follow you to other sites.
4. Why we collect it
We use what you give us for these purposes:
- To shortlist suitable candidates. Household size, care needs, residence type, dietary and cultural requirements and your start date are what turn a general search into a shortlist of helpers who can actually do the work in your home.
- To answer and follow up on your enquiry. By WhatsApp, phone or email, whichever you used to reach us.
- To arrange a placement, if you go ahead. Preparing the service agreement and employment contract, work permit applications, the required insurance and the required medical examination.
- To meet our obligations as a licensed employment agency. MOM requires agencies to keep proper records of the placements they handle, and we keep ours.
- To handle a replacement, a complaint or a dispute about a placement we were involved in.
Plainly: we do not sell your details, we do not pass them to other agencies to market to you, and we do not add you to a mailing list about anything unrelated to your enquiry unless you have told us we may. If you have, you can tell us to stop at any time and we will.
5. Health related household details
Some of what we ask sits close to health information: whether an elderly parent needs help moving around, whether someone at home lives with a medical condition, whether a child has a particular need. We ask because a caregiving match cannot honestly be made without it.
A helper who is told at the interview that she will be supporting a family member after a stroke can say yes or no with her eyes open. A helper who discovers it in week two usually leaves, and your household is back at the beginning. That is the whole reason the question is on the form.
We keep it to what is needed. When we brief a candidate helper, she is told what she needs in order to decide whether she can do the work and to do it safely. Your name, your address and unrelated details about your household are not part of that briefing until you have chosen to meet her and a placement is actually going ahead.
6. Who else sees your data
We use a small number of outside providers to run the site and the enquiry process. They handle your data on our instructions, for the purposes above, and for nothing else.
- Formspree. The enquiry form on our contact page is submitted through Formspree, a form handling service, which relays the submission to our own email inbox. Your form answers therefore pass through, and are stored by, that service.
- WhatsApp and Meta. If you choose to talk to us on WhatsApp, that conversation runs on WhatsApp's infrastructure. Meta's own terms and privacy policy apply to it as well as ours, and we cannot change how Meta handles it. If that is not acceptable to you, email or call us and we will keep everything off WhatsApp.
- Our website hosting provider. It serves the pages you are reading and keeps the technical logs described in section 3.
- Candidate helpers, and only as far as needed. A helper being considered for your household is told what she needs in order to assess whether the role suits her, as described in section 5. Where a helper is still overseas, the counterpart agency or training centre working with her may see the same limited summary.
- The parties a placement or renewal legally requires. If you proceed, that means MOM through its systems, the insurer for the required insurance, and the clinic for the required medical examination.
- Authorities and advisers. Where the law requires disclosure, or where we need professional advice about a dispute.
Some of these providers store data on servers outside Singapore. Where that happens, the PDPA requires us to take steps so that your data receives protection comparable to the standard the PDPA sets, and we do not use a provider we cannot say that about.
7. How long we keep it
We keep personal data for as long as there is a reason to, and then we stop.
- Enquiries that do not become a placement. We keep these while we are still in contact and for a reasonable period afterwards, so that if you come back to us in a few months we are not asking you the same questions from scratch. After that they are deleted or anonymised.
- Placements we handled. We keep the placement record for as long as the Employment Agencies Act, the conditions of our MOM licence, and our tax and accounting obligations require us to, and for as long as we may need it to answer a question about that placement.
- WhatsApp conversations. These sit on the business phone and are reviewed on the same basis as everything else.
If you ask us to delete something we are legally required to keep, we will tell you what we have to retain and why, rather than quietly ignoring the request.
8. How we protect it
Access is limited to the people actually handling your enquiry or your placement. Staff accounts and devices are password protected, this site is served over an encrypted connection, and paper documents stay in the office.
No system is perfectly secure and we are not going to pretend otherwise. If a data breach occurs that is likely to cause you significant harm, the PDPA requires us to notify the Personal Data Protection Commission and the people affected, and we will do that.
9. Your rights, and how to use them
Under the PDPA you can ask us to do three things.
- Access. Ask what personal data we hold about you, and how it has been used or disclosed in the year before your request.
- Correction. Tell us something we hold is wrong and ask us to fix it.
- Withdrawal of consent. Withdraw your consent to our use of your data, with reasonable notice.
To do any of these, email info@jazhelpers.sg or write to us at 1 Jalan Dusun #02-13, Singapore 329363, marked for the Data Protection Officer. Tell us what you want and give us enough detail to find your record. We may ask you to confirm who you are before we hand anything over, which is a protection for you rather than an obstacle.
We aim to respond within 30 days. If we need longer, we will tell you when to expect an answer. The PDPA allows a reasonable fee for an access request; if one applies, we will tell you what it is before we do the work.
Two honest caveats. Withdrawing consent usually means we can no longer look for a helper for you or support a placement in progress, and we will explain that consequence before acting on it. And some records we must keep even after withdrawal, because the law requires it.
If you are not satisfied with how we have handled your request, you can raise it with the Personal Data Protection Commission of Singapore.
10. Changes to this policy
If our practices change, this page changes with them and the date at the top is updated. Where a change materially affects how we use data you have already given us, we will tell you rather than leaving you to notice a new date. This version was last updated on .
11. How to reach us
For anything on this page, including access, correction and withdrawal requests, contact our Data Protection Officer.
Our terms of use cover what this website is and is not, and how anything we publish here relates to an actual placement.
